Are you the agent that has used AI? And then you go back to find a conversation that you had or a chat that you had. For example, you know, you could have put in a listing and you now you can't find it, right? You think it's lost. It was deleted. I did too when I first started using AI. So stick around. We're going to talk about how to get organized in your AI, how to create your folders, and what goes in those folders. So stay tuned. Welcome to the Unstoppable Real Estate Agents Podcast. I'm your host and real estate productivity expert, Kim Hughes. A couple of weeks ago, I was talking to one of our clients, and I'm helping her get organized in her AI. And one of the things that she sent me a text and she said, Hey, when you get a minute, can you call me? So, you know, I called her and I and I said, Hey, what's up? And she said, I can't find a listing description that I had, you know, Chat GPT create for me. How do I find that? Did it delete it? It doesn't remember. I've asked it, it can't find it. And I said, Well, you have to remember AI is not like a Dropbox or a Google Drive. That's not what it's for. It's AI is to help you move forward and help you solve problems and help you create ideas and things like that. You know, there's a lot that AI can do, but for right now, we're going to just talk about that. And so I asked her, I said, well, did you name it? And she said, Well, I don't remember. And I said, okay, probably what has happened is that you started talking to AI and you didn't give it a project folder, you didn't give it a title or anything for you to reference back to. So I said, let's do it this way. And so today's podcast is how we're going to do that. So the first thing that I want to talk about is when you, whether you're using ChatGPT, Claude, Gemini, whatever you're using, um, I'm gonna try to be very specific in how this works. So whatever AI that you're using, you just need to, you know, apply it to that particular AI. But the terminology may be different. So, like for example, in Claude, we call them projects. Makes sense to me, right? But if you go to Gemini, they're called gems. So I think in Chat GPT, they're also called projects. So just know the terminology that your AI is using so that you're not thinking it's one thing and it's another, and then they all mean something totally different, and then you're totally now, totally unorganized. So the way that I want to talk about this is, you know, the first thing that you need to do is, you know, understand how your AI tools are built. Um, in my previous podcast, and if you didn't catch that one, I highly recommend that you go read, listen to that one, as well as maybe even print out your podcast notes or the blog because there's a lot of information on that one to help you get set up. This is where we're going to talk about organizing your folders and organizing your AI to work better for you. Okay. So make sure you do that. And then after you watch this video or listen to this podcast, make sure you go download the notes or the um blog so that you can have a written copy. And I would just say print it out and then kind of follow those guidelines. Okay. That would be a good way for you to start so you don't have to keep hitting stop and go on the podcast. Okay, so what we want to understand is that, you know, Claude, ChatGPT, and Gemini, they all work um in different ways. They may put out the same kind of information, but what are they really intended for is what we want to look at. So I use my Chat GPT, which was my very first AI, and I used it for my business, my personal, for everything. Um, my health, you know, and all, I mean, I I literally was in there feeding it so much information that I was like, it's gonna blow up, you know. But it didn't, it does help me, and I'm gonna tell you, you know, it's to me, AI is probably one of the best things that's happened to me in my lifetime as far as a business, a tool, right? So I really want to train you or teach you how to do this as well because it is phenomenal, okay? And I'm always gonna say, if you ever need help, just reach out to us. We're happy to have a call with you. So, you know, the Claude and the ChatGPD and the Gemini, they all work under the, they all work the same way under the hood, but there are three layers. And so here's what we're gonna talk about. And I am looking at my notes. I know, don't judge, but um, so you need to think about projects being a room um or a folder. This is where you're going to keep a project self-contained in a workspace with its own memory. So what you can feed one project, you may not feed to another project in the same AI. And so keep that in mind. We're talking about one AI and then all of your folders, your projects, your gems, whatever you want to call them. Okay, so for example, um, a project, you know, is the overall of the of the um the conversation that you're going to have. So I want you to look at that as each project is self-contained workspace with its own memory. So what like I said before, when you feed that project memory, it's not gonna probably apply to all the others. So you can be very specific. So one of the folders that we're gonna create is gonna be listings, okay? So under that listing project folder, right, we're gonna call it 123 Sioux Street. Now you have one, two, four, five, six Johnson Street, 789 Smith Street. So each project in that project, and I know I'm my terminology is not 100%, so bear with me. But I look at a project being a folder, okay? So a project to me is, you know, 1, 2, 3, Sioux Street. So everything that I'm gonna do is gonna go on that property, will be inside that folder. I'm not gonna just open it up and start a new chat. I'm gonna open up my AI, I'm gonna go to my projects, and then I'm gonna look for my property. And then I'm going to work in that, in that area of AEI, feeding it more information about this property. So it's going to have its own focus. So think of it that way. So now the next thing you need to remember are chats. Chats are just conversations without any reason. Okay. So if I went in and said, you know, how many people can be on a trampoline at once? That's just a chat. That's not a project, it's not anything important. It's just asking for some information, you know. I do that all the time. If I'm just random, if my husband and I are having a conversation and we don't know the answer, I'll let me let me ask Pepper. Pepper is my Claude. And so, um, and for those who don't know, Pepper was created from my mastermind group because of our co my coaches all ha are into the Marvels and all of that. And um the, you know, I can't think of the other one at the moment, but my kids, I had all boys, so we all grew up watching all this stuff. And so Pepper is um oh my gosh, Iron Man's assistant. So Pepper is her name in the movie or in the show, and so I named mine Pepper after her because she's so good at what she does. Okay, so name your chat GPD, name your Claude, name your Gemini. It doesn't matter. Give them all different names. And so when you are referring to them, you have a name that's associated with them and it's just fun and it keeps you organized, believe it or not. Okay, so um, so chats, like I said, you know, these are just one-time questions, a task, how to do something. You know, if you if if it's just a one-off, just do it as a chat because then you can delete it later and it's no big deal. But if it pertains to an area of your business, you should have a a project for it. So to start out, that's what we're going to talk about is how we can get these done. Now, a file, these are reference material. This is like if you are building out your business hub, which we talked about in the previous uh podcast, is when you build out your business, you're telling AI who you are, what you what you do, what market you work in, et cetera, et cetera. So that is another folder to create called your business hub. Okay. Okay, so your reference, you know, your files are your reference materials that are inside of a project. So again, if you have a listing, we're going to take the MLS sheet, we're going to take the seller's, you know, notes, we're going to take the um all the information, photos, anything that you have on that property, you will feed it to the project folder for that listing. And then inside of there, that's where AI can really show you what they can do. So when you open up AI, you treat it kind of like your email. It's an inbox, but it's not an inbox. It just opens up and it says, hi Kim. Good afternoon, Kim. How can I help you? What do you want to do today? Where are we focusing? Whatever it says to you, that's because it doesn't know what you want. So it's going to open up a new chat ready for you to type in whatever you want to do. Don't, don't do that. Go over to your projects, and most of the time it's on the left column. Where, what is it that you're working on? You know, what is it that you're going to be talking to your AI about? Is it a listing? Is it a system? Is it a particular email sequence? Is it a, you know, um how you are managing your open houses? What is that conversation fixing to be about? Because if it doesn't have a project folder, you need to think about does it need one? So if you're in there and you're thinking, oh, I just have a one-off question about an open house. And then next week you come back and you talk about an open house. And then the third week, AI is not organizing that. So create a project folder called open house. And then anytime you want to go into your AI and talk about open houses, you go to that project folder. So everything stays right there. Okay. So kind of, you know, it's kind of like I was explaining to someone the other day. I said, when you your online storage is, you know, like Dropbox or Google Drive. You're not going to just create a listing description and then just go throw it in there and then just look for it, you know, spend an hour looking for it when you need it. You're going to create a folder, you're going to create a, you know, and keep it very organized. And if you are not that agent, then you need to be that agent. So this is a good way to start using your AI. Be very, very organized, very thoughtful, very specific in what you're doing so that you can keep it organized because it's not going to organize it for you. Okay. So the first thing that there's four things that I like to do with projects, and we're going to go over all of this. So stick with me. So project one, okay, that's going to be your business brand hub. This is where you're going to put the color palette, your logo, your tagline, um, your company logo, your photo, anything to do with that. And then you're going to put in your idea avatar. You know, so remember in the previous podcast, I asked you who is your ideal client, who is your avatar. So I want you to take a minute and then create that and then upload that to your brand hub as well. And then your market reviews. We talked about this also. You know, you need to be very detailed because it's not going to think for you. It's going to think for you after you feed it everything. Okay. So again, I want you to go into your MLS or wherever you get your market stats. I want you to go back six months. I want you to download them and then I want you to upload them into your into the business hub. And then, or you could make a whole nother project folder called market stats. And then every month you put them in there and then you tell your AI, write me an opinion based on these market stats. And then that's something that you can use going forward in your newsletters, social media, videos, client, you know, when you're talking to clients. So having a folder just on your market stats would be so beneficial because if you loaded it up for the lack, let's just say January to date, okay? So then every month you would have a great reference library to tap into. So I'm gonna highly recommend that you do maybe that's project five, as you create your um market stats folder. And this is where you keep all of your market stats or any information on your market. Okay. Then you have your voice guide, you know, how it's going, how you talk. It understands what you're saying, it understands your accent and everything. So then it will learn how to talk in your in your voice. So when you are recording it, it's learning who you are. Typing it, it's not because you type differently than you talk. So I'm gonna always say as much as you can, turn on your mic and talk to AI. It's quicker, more efficient, and it understands, it can understand you better by doing your voice. And um, let's see, we talked about the overviews and then your bio, your headshots, like I said. Put everything, call it your business brand hub, and that's where you keep everything on your business. And then I'm gonna even say, we're gonna create a lot of project folders today. Um so then let's move to number two, and then if I have time, I'll bring in another another project. So, number two project folder is what I'm trying to call it projects, not folders. Hopefully you get the gist. Um, this is gonna be called listings. And if you even want to go further, you could type in the year. So the time of this video is 2026, and I would say 2026 listings. And just like I would in my Outlook, just like I would in my Dropbox, everything is going to be consistent, okay? Because then I know how to find things. If I name it one thing over here and something else over there, then I get confused and I don't remember what I named it, and then I can't find it. So now I have to start all over or spend time looking for it. So with the with the listing project in there, that's where you're gonna identify each property and you're gonna upload everything you have on that project on that property. Now, here's a pro tip. Take photos. You can just do these photos, they don't have to be professional, but if you've already done the photos, then use those. But take photos of the house. And if the living room needs a little updating and all of that, take that living room, put it in your, and I would say this would be Chat GPT. I would not use Claude for this because it doesn't create images. So go over to Chat GPT to do this. And you could create a project folder over there called listings and put your listings there, but then also keep your images there, but keep everything else in Claude. You do you. It it's it's your it's your system, it's your business. You can do this any way you want. If you're more comfortable keeping everything in Chat GPT, then do that. Claude is not gonna be as any more robust in writing content. I do think it writes better contact and and it, I think it understands my my profile better. Um, and also I like Claude because of the privacy. So just keep that in mind. But you do whatever you want to do, whatever Chat GPT, Claude, Gemini, pick one and go with it. If you feel like you can juggle two, then do that. You may say maybe in six months I'll be ready for two. Okay, you do that, you know. But you don't have to follow what everybody else is doing. You need to focus on what's going to work for you and not for everybody else. It's great to listen to everybody else and get ideas, but they the way they do it may not be the way you need to do it for yourself and for the way you think and everything that goes on with your business. So when you take these photos and you upload them into Chat GPT, I'm going to tell you to say, I have a new listing. This is the living room of this house, and I would like to do staging. I would like to do some staging to make this room more appealing. Okay. Keep in mind that it's not looking at price. It's not looking at anything, but creating an image based on what you've given them to make it a better living room. Okay. But you will be so surprised at what that will do. And I will, I will take a picture and upload it and then tell it all about the room and what I'm kind of looking for, like keep the couch, keep the tables, you know, keep the lighting. What other artwork can we put on the walls? Um, what kind of a rug can we do? The fireplace looks a little dingy. What can we do there? You know, so you can tell it to pick and choose what to enhance. Or you can just say do the whole room and see what it comes out with. I usually do two or three different ideas just because, you know, you've got to know who your client is. You know, if you're selling that house and your your client is all about southwestern look, then you need to tell that to ChatGPT. You know, this the seller likes the southwestern look. So let's keep that in mind as you're creating this new image for me to stage the home. So you can do that on every room, upload it, tell it what to do. You could print all of that out. You could you could PDF it and send it to your client and ask them if they are interested. That would be pretty impressive. So there's your pro tip. If you have, you know, when you get your images, upload them. And if you if there is a room that needs a little updating, do that. Like you might even say, I need to paint the walls in this room. What color based on the furniture and already the color that's in there, what would you recommend to make it a nice, calm, relaxing, cozy feeling? So then it's going to generate an image based on what you told it. So you you remember I said cozy, warm, and everything. That's what you've got to feed it. Don't just say, redeck, redo this room for me. Don't do that. Give it specifics of what you're looking for. Just like if you, if your client, the house is beautiful, the inside is beautiful, but they are not yard people. And the yard needs some work. Take a picture of the front yard, put it into your chat GPT, and I have done this, and it is awesome. And I said, my front flower bed needs some updating. My home is in um, you've got to know your planting zone, which is AB, 8B. Um, I tell it which way it's facing, it's facing northeast. Um, what plants and arrangement design do you recommend that I use that makes my home, the front of my home, um look very updated. And when I did that and it spit out what I what it recommended, the image, it gave me the the image of how it would look, and then it told me which plants, how many plants about the plant. I mean, it was like, oh my gosh, it was like a professional landscape design that I received from Chat GPT. I have literally done my entire back around my house because of this, and uh because that's my thing. I like my yard and I working in it. But that is something that you can do, and that is really cool, you know, and it's different. So if you're if your homeowner, if you're telling your homeowner, look, your house is gorgeous, you just need some curb appeal. Let me take a couple of pictures and see what we can come up with to add some punch to it, you know? That is pretty awesome. Pretty awesome. You can do it with the house. You can go into the kitchen, the bathroom, bedrooms, outdoor, backyard, garage, you know, it can take a listing to another level. And here is another little pro tip. If you are going on a listing appointment, you're getting your listing presentation ready, you should have a portfolio of homes that you You have put into AI to redesign the landscaping, to uh, you know, update the living room and create a little portfolio of that to take with you to show your clients, hey, you know, if you want some staging, we can do this. If you need some landscaping, we can do this. These are some ideas that we have worked with clients in the past, and I'm showing them to you to see if that is in an interest of you. Now, that is something that you can charge as a separate fee or give it to them as a complimentary for listing with you. It's pretty cool. So, if nothing else, go out in your own yard and take pictures and talk to ChatGPT about it and see what it puts out. And it it's it's pretty, it's pretty amazing. Okay, so then um, we talked about your business brand hub. We talked about the listings, and then number three is your marketing content. So you'll make another folder, um, project called marketing and content. Now, this is where you're going to put your content calendar. This is where your social media calendar goes, your e-newsletter goes. These could be past posts that were really good, that got a lot of good feedback. Um, you know, so you could do that, put those in there. If you are doing your own social media, you can in there go in there and have it create your content calendar. It can it can ChatGPT does this. Um then it can create the images for you for your social media. So for example, you might say, Hey, we're um there's a festival this weekend, and I need you to create a um social media post for Facebook. So remember the dimensions that you need to use to create this post and then tell it what you want it to say, what you want it to look like, and it's gonna create it right there. You download it, you go over to Facebook and you upload it. Unbelievable. And then you save that to your marketing folder so that you can reference back to it in the future. And make sure you name it. So if you're doing social media, you might want to create a social media project folder and then under that have each social media so that when you're working on Facebook, you're in Facebook. You're working on Instagram, you're in Instagram. LinkedIn, LinkedIn, Pinterest, you know, whatever you're posting on. Very organized. You can do this. It it sounds like a lot, but it's not. It's very easy to do. And it gets to be kind of fun because it's shocking what they can, what the AI can give back to you in such a short amount of time, saving you hours every day. Okay, so then in this marketing and content folder or project, what we want to do is also um list your audience's pain points. So if you're not good at doing that, you can have Chat GPT tell you that. And you might say, you know, I live in East Texas, hot, humid, you know, it's gonna be 100 degrees for three months out of the year, you know, blah, blah, blah. What are my clients' pain points living in this area? And then what are the pain points of buying and selling? And what are the pain points of this? And you can put together your own library of reference material. It's it's incredible that you can do this. And then um, you know, you can use Chat GPT for and all of them to give you ideas. So if you are one of those agents that wants to blog and you just don't have time and you don't have the budget to hire someone to do it for you, then you can work with ChatGPT or Claude or Gemini and they will help you generate um content for blogs, which blogs are really important for SEO on your website. So that's another topic, but you know, these are things that are going to help you. So taking the time to build out your AI is a hundred percent worth it. You will get a hundred percent return of investment. I promise you that. Okay, so now you can um, you know, like I even have um clients that have folders that call that we call them buyer follow-ups, seller follow-ups, um, past client reactivation, you know, things like that. So whatever you are into in your business, so like if you're a commercial agent, you might break down, you know, your commercial property, strip malls, malls, um, multifamily, et cetera, et cetera. If you're a traditional agent, um, residential, duplexes, you know, um, things like that. If you're an investor, then you can list all the properties. If you're a property manager, you can manage all those properties because you're gonna have a folder or a project for each one. And um it's I'm I know I keep saying it, but it's gonna save you so much time. Okay, so going forward, I want you to name every chat. So, what I mean by that is when you go in and you want to do a chat, you want to talk to your AI, you need to stop and think, what is this about? What is this topic so that I can reference to it in the future? And you know, you may say open house material. So you're gonna say open house, and then I well, the way I do it is I put open house colon and then I start talking to it about what I want to do. So if I have to get up and walk away, I've got to get up and go show a house or something like that, and I need to come back to it later, I know that I called it open house. Okay. So then you just go down through the chat and you find it, and then you pick up where you left off. But I again, I would make a project on that, you know. So, you know, you can expand your projects to be as as many as you want, but just keep in mind don't do so many that you forget what you have. Okay. So, like if I was an if I was gonna do an open house project, what would I put in there? I would put in my um, how do I, what is my system? What are the materials that I need to take? I need to upload those materials so that it knows what I'm what I'm doing. So this is another area that you will build upon going forward. Because right now, your AI doesn't know that much about you. So, you know, it's just like your assistant, you hired her, she's one week in, she doesn't know that much about you because she's been trying to do other things to get you going. So now let's do some deep dive into what AI can do. So the more that you feed it, the more it's going to understand you. So you could have an open house project and you're gonna feed it all this open house. You're gonna upload all of your open house materials, flyers, your sign-in sheet, whatever it is that you do, how do you conduct it, your system, everything goes in there so that when you start talking to it about open houses, you don't have to keep telling it what you do. You've told it once, it's gonna remember, and then it's gonna help you be better. Okay. Just like in your business hub, everything that you put in your business hub, feed it the documents, feed it the references that it needs so that it can go back and look at everything when you're talking to it. So you don't have to keep repeating yourself. That's something you don't have to do in AI if you're organized. Okay. So here's something that I would like for you to do. When you walk away from this podcast, if you have 10, 15 minutes, these are the things that I want you to do. I want you to go into your AI and look at it and say, if I'm using Claude for images and it won't create images, then I need to get another AI tool. You need to go find one that you're gonna like. Now, ChatGPT can do that, but there's also um GPTs inside of chat that you can connect and use those. So there's images, you know, there's one in there that's an image creator, and that's the one that I use when I'm trying to create images, whether it's social media, for my um website, for you know, my ads and all of that. So be very thoughtful when you start this. Don't just go in there and just, you know, just go in there and think about how you want that to look, you know? Okay. Um, then I want you to go through all of your chats, you know, they're gonna be down on your left side column, and organize those chats and open it up, look at it, and then tell it where to go. So you want to take, you want to take that conversation or that chat and put it in your open house folder. Then you tell it to do that, and it will do that and it'll come back and say, okay, now I've done that. So organize your chats. If it's untitled or just doesn't have a name, give it a name so that you know where it is or that chat can find it for you if it needed to. And then if you have like winning content. So let's say you put out a social media post and it got a ton of views and comments and shares and everything. Well, that was a good post. So you want to save that into, you know, your award-winning post, you know, project. Because then you can come back and go, you know what? That was really good. I'm gonna do that one again. I'm gonna tweak it and I'm gonna put it back out there because that was some good stuff. So you can do that and it will make your life so much easier. And then I want you to delete anything that you're not, you know, if you went in there and said, How many colors of green are there? Delete that. You know, you can you can create a project, and I've done this that it's just miscellaneous, is what I call it. And it's just where I go in and just ask it stupid stuff, you know, and my grandkids might ask me, you know, to ask it a question, or they may even ask it a question. So that's just where I keep all of that. Okay, so now what I want you to do is really think about, you know, when you're working on something on your computer, where do you put it when you're done? Do you go put it in the appropriate file, or do you just throw it on your desktop and say, I'll deal with it later? Don't do that. Okay. I'm gonna tell you, don't do that in your chat. I mean, don't do that in your chat GPT, but don't do that on your desktop or your Dropbox or anything else. Get organized because you probably spend more time looking for something or searching than you should. Okay. So I really am going to push you to be very organized with AI, okay? Because this is this is something that's gonna be around and you need to learn how to use it. And it is a you have to be very focused on it too. So so here's what I want you to walk away with is um if you want to take action on this, I would really recommend that you first go back and listen to my last podcast on AI if you haven't already, and then sit down and just kind of think about how you want your AI to look and just pencil it in on a piece of paper so that when you go in, you can set it all up. Or you can have a conversation with AI and say, hey, I'm getting ready to set up my folders or my projects with you. So can you give me an outline of the best way to do that? Tell ChatGPT, tell Claude or Gemini that, hey, I'm getting ready to do this. I need to know from you what is the best way to feed this information to you? And ask it questions. Have it ask you questions. So when you create something, you might even, and I do this quite a bit. I'll say, now that I've written this blog, I want you to review it, pick up any grammar mistakes, any typos, um, make sure that it makes sense, and um ask me any questions about it. If you're stuck on a particular area of the blog, then stop and ask me any questions so that I can give you the details. So again, that's where I'm training it to understand how I want it to work for me. Now, it's not gonna happen overnight. I'm gonna tell you it's probably gonna take three months for you to get this all done. But if you set aside time every day or every week, you will grow an AI that will be so phenomenal that it can pretty much run your business for you in certain ways. Okay. So kind of think about that. You know, the your AI is gonna be your right-hand man, it's gonna be your executive assistant, it's going to help you be strategic, it's going to help you be organized, it's going to make your life easier and better because it's going to save you time at the end of the day. So it's worth a couple of hours up front to put it together than to chase it all the time and then just play and not use it. And, you know, it's too much of a great tool for real estate agents to ignore it. So I'm going to ask you to embrace it. And I'm also going to say that if this is something that is really interesting to you and you see the potential, but you're very, uh, very confused or you're not sure, you know, you're a little, you know, hesitant to use it, come join us over at the real estate OS Accelerator.
